Weston Workers Club – Event Booking Terms & Conditions

These Terms and Conditions (“Terms”) govern all event bookings made with Weston Workers Club (“the Club”). By confirming an event booking, the Client (the individual or organization making the booking) agrees to be bound by these Terms.

1. Booking Confirmation & Deposits

1.1. All bookings are provisional until confirmed in writing by the Club and accompanied by the required deposit. 1.2. A non-refundable deposit, as specified in your booking proposal, is required to secure your event date and chosen facilities. 1.3. The Club reserves the right to release provisional bookings if the deposit is not received by the agreed due date.

2. Cancellations & Reductions in Numbers

2.1. Cancellation Policy: a. All cancellations must be submitted in writing to the Club. b. For cancellations made less than seventy-two (72) hours prior to the scheduled event date, the Client will be liable for the full estimated cost of the event, including catering, staffing, and venue hire. c. For cancellations made more than seventy-two (72) hours but less than fourteen (14) days prior to the event, the deposit will be forfeited. d. For cancellations made fourteen (14) days or more prior to the event, the deposit may be refunded at the discretion of the Club, less any administrative fees incurred.

2.2. Reduction in Numbers (Guest Count): a. Any reduction in the confirmed number of guests must be communicated to the Club in writing at least seventy-two (72) hours prior to the event. b. If a reduction in numbers is made with less than seventy-two (72) hours’ notice, the Client will be charged based on the last confirmed guest count or the minimum guaranteed number, whichever is higher. c. The final guaranteed number of guests must be provided to the Club no later than seventy-two (72) hours before the event. This number will be the minimum charged for catering and beverage packages.

3. Payment Terms

3.1. The full outstanding balance for the event is due on or before the event date, as agreed in your booking contract, unless otherwise specified. 3.2. Any additional charges incurred during the event (e.g., bar tabs, additional services) must be settled prior to departure, unless a prior arrangement for invoicing has been made and approved by the Club. 3.3. The Club accepts payment via methods specified in your booking agreement.

4. Event Details & Changes

4.1. All event details, including menus, room setup, and timings, must be finalised with the Club’s Events Coordinator at least fourteen (14) days prior to the event. 4.2. While the Club will endeavour to accommodate changes requested after this time, it cannot guarantee their implementation and may apply additional charges. 4.3. The Club reserves the right to make minor adjustments to event details if unforeseen circumstances arise, providing reasonable notice to the Client.

5. Guest Conduct & Responsibility

5.1. The Client is responsible for the conduct of all guests attending the event. 5.2. All guests must adhere to the Club’s house rules, policies, and liquor licensing regulations. 5.3. The Club reserves the right to refuse service to, or remove, any guest who behaves in an intoxicated, disorderly, or disruptive manner. 5.4. The Client acknowledges that the Club operates under the Registered Clubs Act and all associated regulations.

6. Liability & Damages

6.1. The Client is responsible for any damage caused to the Club’s property, fixtures, fittings, or equipment by the Client, their guests, or any third-party contractors engaged by the Client. 6.2. The Client agrees to indemnify the Club against any claims, losses, or damages arising from the event, except where such claims arise from the Club’s negligence. 6.3. The Club accepts no responsibility for loss or damage to property brought onto the premises by the Client or their guests.

7. Force Majeure

7.1. If the Club is unable to perform its obligations under these Terms due to circumstances beyond its reasonable control (e.g., acts of God, natural disasters, strikes, government restrictions, pandemics), the Club will notify the Client promptly. 7.2. In such cases, the Club will not be liable for any failure to perform, and efforts will be made to reschedule the event or offer a credit, where appropriate.

8. Compliance with Laws

8.1. The Client and all guests must comply with all applicable laws and regulations, including but not limited to health and safety regulations, anti-discrimination laws, and liquor licensing laws.

9. Governing Law

9.1. These Terms and Conditions shall be governed by and construed in accordance with the laws of New South Wales, Australia.
